All copying of material in The Rare Book & Manuscript Library is now done by digital photography or flatbed scanning. Standard fees are currently $40 set-up fee per item request, with an exposure charge of $2.00 a piece for all images subsequent to the first. Large-scale orders may incur additional media and set-up fees. Prepayments of orders are required. Regular shipping is included.
Digital images my be delivered in TIFF format on CD-ROM or may be downloaded from a password protected site. If FTP delivery is preferred, you must provide your own FTP site.
The Rare Book & Manuscript Library reserves the right to refuse reproduction requests for materials that are too fragile for imaging or for works that are commonly available or already available in a digital form.
Please allow at least ten days for the fulfillment of orders. Unfortunately, rush service is not available.

Researchers must make a written request for permission to publish manuscripts or for one–time permission to reproduce images. Permission cannot be granted unless the researcher’s letter of request clearly identifies the items in question. Indicate call number or collection name, and box and folder numbers (if known); name of author or creator; title and date of the item; or any other relevant information. The request letter should clearly identify the forthcoming printed work, electronic publication, or media presentation in which Illinois materials will be quoted, published, or reproduced.
In most cases, The University of Illinois owns only the physical item, not the literary property or copyright, and therefore assumes no responsibility for violations of such rights or for any other legal issues resulting from the use or publication of the items. It is the responsibility of the researcher to secure permission from the appropriate copyright holder to quote, publish, or reproduce items from the University of Illinois collections, and to acknowledge in print that the materials are used or published, “Courtesy of The Rare Book & Manuscript Library of the University of Illinois at Urbana-Champaign.”
Permission Fees
In return for a fee paid in advance to The Rare Book & Manuscript Library, permission may be granted to reproduce or broadcast within a period of three years from the date of the permission letter. The Library requests gratis copies of any publication that includes images from works held by The Rare Book & Manuscript Library. Formal permission must be requested in writing.
For purposes of pricing, the University draws a distinction between commercial and non-commercial uses. The Library policy on use of items from its collections requires that the researcher or entity absorb the basic reproduction costs, as noted above. The Library also charges a per item use fee for non-profit and for-profit publication of material, as noted here. Permission to publish in non-for-profit entities for Faculty and students of The University of Illinois at Urbana-Champaign is normally granted free of charge by The Rare Book & Manuscript Library. Please note that the payment of permission fees do not satisfy any copyright claims that may pertain to any particular work or manuscript material.

Before any material from the Library’s collections may be reproduced for publication, permission must be requested and obtained in writing from The Rare Book & Manuscript Library. Permission to publish, when granted, will involve giving due credit to The Rare Book & Manuscript Library.
