Executive Committee Meeting Minutes
February 11, 2002
1. Approval of Minutes of January 14 and 28 Meetings
Minutes were approved with revisions.
2. Question Time
Paula has shared the feedback on the Cataloging Policy Committee with its chair, Barb Henigman.
3. Preparation for Ryoko Toyama's Visit on February 25
Ms. Toyama, Director of the New Brunswick campus libraries of Rutgers University, will discuss Rutgers' strategic plan for digital libraries and libraries as a whole, which provides a framework and set of principles for staffing decisions. EC will have lunch with her, and the Administrative Council will join EC at 1:30 for a meeting.
4. Proposal to Change titles of Technical Services Team Leaders
The EC approved a request from Technical Services to change "team leader" job titles to "head," contingent on confirmation from Bob Burger that such a change is in line with other changes being explored within the division.
5. Promotion and Tenure Matters
Editors for P&T papers were assigned. Peer review committees for candidates for promotion to full professor were assigned. Individuals were recommended to bring the complement of full professors on the Faculty Review Committee and the Promotion & Tenure Advisory Committee up to the numbers necessary for peer review of candidates for promotion to full professor.

This was a meeting with both departing members and new members.
I. Minutes of the January 23, 2002, meeting were revised and approved.
II. Reports
A. Admin Council (Alan) -- Meeting canceled.
B. Faculty Meeting (Pam) -- No meeting.
C. Reconfiguration Meeting (Alan) -- Acquisitions has been told to be prepared to move to a basement room in April. Kate Swan has replaced Mardell O'Brien on the committee.

IV. Updates/Discussions
A. Gil Witte presented a draft of a Proposal for a CSE Retreat for committee to review and bring comments to the next meeting.
B. Alan Conrad presented a letter of concern for committee members to review and e-mail comments to him.
C. Gil Witte distributed a revised version of the Morale Document with a column for progress. The committee will continue to follow progress.
D. Spring Fling -- A "Spring Fling" is being planned for staff to meet and discuss LSSC matters with their LSSC liaisons. The tentative date is March 20, first day of Spring (during Spring break) from 2:00 to 4:00 p.m. A flyer will be distributed.
E. ALA Scholarship -- Three reviewers were chosen.
V. Meeting with B. Burger
He asked about the level of anxiety concerning the upcoming Voyager conversion. Training is the largest concern. Staff that supervises circulation needs to be trained and confident, so they can in turn train student helpers. Another concern is how to handle the transitionary period. Tentatively, UIUC will be brought up on Voyager next, getting the hardest database on line early. A snapshot for the major conversion is scheduled for March, with a provision to flag new records and new edits done later on DRA, so these changes can be done in a batch. The issue of the Illinois State Library's web-casts was brought to Bob's attention (i.e., computer access and sound cards).

Electronic Information Resources Committee Meeting Minutes
February 14, 20002

I. New Gateway Issues
Discussion
The bulk of the meeting was devoted to a discussion with John Weible concerning policy recommendations needed to implement the new Gateway. When the Administrative Council approved the general "look and feel" of the new Gateway, it was agreed that certain aspects required more detailed discussion and that the EIRC should take this up.
These aspects include:
1. Finalization of the list to be used for broad-based subject searching.
2. Finalization of the list of categories of materials to be used in searching (e.g., abstracting and indexing services, statistics, etc.). The starting point for discussion is a detailed analysis with a suggested list of categories prepared by Lori DuBois earlier this year.
3. Recommendations for procedures to be followed to provide descriptive information (more detailed subjects, categories) for currently held resources and to add data as new resources are acquired. Accurate and complete descriptions of online resources are vital if the new the Gateway is to function effectively.
Outcomes
1. Systems will incorporate subject list changes suggested earlier by the divisions, and EIRC will look at the list one last time. Since the list has already undergone thorough review, we are not expecting to make changes.
2. We will dialog about the proposed categories via e-mail and agree on final recommendations at a future meeting.
3. Further discussion is required as to the locus of responsibility for providing e-resource descriptions before a recommendation can be made.
II. Updates, Questions, Announcements
1. Given availability of full text of newspaper titles in other sources, Watson asked Ward and Hogenboom to explore with CPS the possibility of trading in Newsbank for the full text version of the Chicago Tribune.
2. Watson reported that in light of continuing problems with access to BIP, she had queried Jo Kibbee about the possibility of switching from Bowker back to Ovid. The reason for the original switch to Bowker was the absence of the publisher information file in Ovid. Watson will inquire re: current coverage and pricing of Ovid BIP.
3. Current trial of PsycArticles through Ovid. Only part of the database is available at this time.
4. Chinese Academic Journal (CNKI) on trial through CIC. The trial has revealed serious technical problems (e.g., failure to operate within Netscape) and will be withdrawn until these can be solved.
