Gifts Resources for Librarians
Note these procedures are for handling gifts-in-kind (donated books, etc.), and do not refer to
gift/exchange subscriptions and other ongoing programs.

Understanding
- Please review the items listed on the "Types of Gift Materials to Donate" section of the
Donor's Resources page.
- If you receive gifts at your departmental library that you believe to be better suited for
another departmental library, then you may send it directly to that library for review.
- Please indicate on gift materials that you send to the gift room whether they have been
searched in the library catalog.
- Items that possess UIUC property stamps and/or University of Illinois bookplates cannot be sold
in any manner and must be discarded if the titles are no longer needed.
- You may send items directly to the book sale. Clearly mark the books/boxes "Book Sale" and
provide the name of the library sending the items to the sale. Send to: 24B GIFTS, MAIN LIBRARY,
mc-522.
- If the gift is large (number of pieces), then you need to work with Technical Services and
Office of Collections on storage issues and a processing plan.
- For large (number of pieces) gift donations desired by a departmental librarian, the librarian
will be required to sign a Memorandum of Understanding prior to acquiring the gift. A link is above
for the "Memorandum of Understanding" web form.
- All Gifts must be acknowledged. Gifts may be acknowledged by any librarian—not just the Office
of Collections; however, send a copy—letter or form—to the Library Advancement Office.
- If your departmental library is withdrawing journal runs, the library can offer them out to
other institutions in Illinois. Send an itemized list—title, volume, issue, year—for each to Gifts
so they might be advertised on the CARLI listserv for 2 weeks on your behalf.
- Please direct prospective donors—both community members and campus community members—to the
gifts documentation located on this website.
- The library cannot provide a value for the material that is donated; however, the library can
recommend appraisers to potential donors. See the information under, "Appraisal of Donations"
located on the Gifts Resources for Donor's page.
